Websites have expanded the possibility of achieving many things, provided millions of opportunities and ideas for individuals, and have changed the lifestyles of people all over the world, as people can now communicate and interact with each other through their phones and laptops wherever they are. This changed the business approach and operations, in addition to developing the education process . The tasks of the website are to publish all news related to the college, which is provided to the website by the Media and Government Communications Division, in addition to all the details about the College of Medicine that can be known through the website. Through the website, announcements and notifications for students are published as well.

Media and Government Communications Division

The Department of Media and Government Communication is considered a vital and effective part of the College of Medicine because of its role in monitoring all activities, achievements and special events carried out by the College, including various student activities, festivals and conferences of a scientific and practical nature, and highlighting and covering them for the purpose of dissemination. The main goal of the Media Division is to convey the event in a visual and readable manner, so that it is accessible to everyone to see what the College of Medicine is doing and the services it provides in various fields. The Department of Media is considered a direct link between the university’s colleges and local and international universities. Not only that, but it is concerned with managing the college’s social media and publishing news on an ongoing basis. It is also concerned with editing news and articles in coordination with other deanships and departments. The Division also follows up on the humanitarian and social aspects of employees and academic staffs and is considered the official spokesman for the Deanship of the College. Through the above, the Media and Government Communication Division is considered one of the important divisions of the College and University that has a permanent and prominent presence in all forums and fields.

Registration Division

The Registration Division was established at the beginning of the founding of the College of Medicine. The Registration Division is considered one of the important divisions in the college, which has a role in the continuity of the education process for our college students. The Registration Division assumed its administrative duties immediately after the establishment of the College of Medicine. The Division includes the Documentation and Graduates Unit and the Employment and Graduates Unit. The total number of students present ranges.

The student is accepted into the college centrally according to the Central Admission Plan, and the college opens its doors for applications one week after the admission results announcement. The college, represented by the Registration Division, will review the application to complete the registration. The application is usually accompanied by documents proving the student’s name and preparatory certificate, accompanied by his guardian and a sponsoring employee to complete the registration procedures.

Division tasks:

1- Registration of the central admission students at the beginning of each new academic year by a special committee formed by the college.

2-Transporting and hosting students in accordance with ministerial regulations and instructions.

3-Registration of students accepted into our college.

4-Organizing lists of students’ names, distributing them according to groups, and conducting the university census annually.

5-Providing students with support letters to the official departments and granting sick leave forms.

6-Auditing the documents of students accepted and transferred from inside and outside Iraq and the ministerial orders related to auditing the documents and the validity of their issuance.

7-Recording information about admitted students in special files and keeping them in the Registration Division.

8-Issuing administrative orders for accepted and continuing students.

9-Issuing administrative orders for transferred and hosted students, whose registrations are dismissed, those who are deferred, and those who fail by absence.

10-Issuing a university ID for each student.

11- Automation of student files.

12-. Regular and electronic archiving of all student files.

13- Distributing students to the mentors and following up on them.

14- Answering the official letters received from other universities and colleges and keeping the priorities according to the subject.

15- Distributing final exam results to students, which are received from the exam committee.

The most prominent tasks of Documents and Alumni Unit are:

1- Issuing documents electronically through a system that runs on SQL, which includes a barcode specific to the student that prevents forgery and prevents any error in the document. The system is managed by three users (manager, auditor, and data entry).

2- Issuing graduation documents without degrees and graduation documents with degrees in English and Arabic, as well as issuing merit certificates and granting confirmation letters to alumni students.

3- Sending letters to the Directorate of Education and then to graduate schools to bring preparatory school graduation documents with grades certified by Directorate of Education before issuing college graduation documents.

4- Sending the alumni's documents for authentication at the university presidency and the Ministry of Foreign Affairs at the request of the graduate after authenticating them in our college.

5- Publish the names of alumni for each batch on a list and send it to the Iraqi Doctors Syndicate/General Center Branch for the purpose of assigning them, and send a letter to the Iraqi Doctors Syndicate/Kirkuk Branch with the names of the top ten alumni for the purpose of honoring them.

6- Checking students’ grades in the Master Sheet before putting them on the document, in addition to checking the university order for each alumni batch, whether they are from the first round or the second round.

7- Sending letters to the university presidency to confirm the authenticity of the issuance of graduation documents addressed to the Ministry of Health for graduates for each alumni batch

8- Archiving a copy of the documents with grades and without grades and the certified merit certificate before submitting them to the alumni.

9- After issuing the university order for the first and second rounds, it issues a unified administrative order for the two rounds

10- Answering the issuance certificates (graduates’ documents) from the letters received by us through the Ministry of Foreign Affairs and the Kirkuk Health Department.

Division of Continuing Medical Education

The Division of Continuing Medical Education was established in our college after a university decision to transform the Continuing Education Unit into a division independent of the Division of Quality Assurance and University Performance. The division’s tasks are divided into arranging medical lectures and courses in our college in addition to other activities such as participating in seminars and conferences inside and outside the university.       

    

Division tasks:

Holding weekly lectures on continuing medical education

1-Holding workshops.

2-Organizing medical seminars.

 

Division of Quality Assurance and University Performance

  It consists of the following unit:

Quality assurance unit

-Performance evaluation unit.

-Laboratory accreditation unit.

 

Tasks of the Quality Assurance Unit:

1-Preparing the requirements of the Quality Assurance Council in the college and following up on the implementation of the decisions issued by the Council

2-Following up on the quarterly activities of the college and its departments and emphasizing the participation of faculty and staff

3-Follow up on the implementation of the sessions related to applying quality standards in the college

4-Tasks of the performance evaluation unit

5-Preparing the required statistics (database, numbers of teaching staff, scientific research)….

6-Circulating the evaluation files received from the university (college performance evaluation file, senior leadership evaluation file, teaching evaluation file, employee evaluation file, comprehensive evaluation file,...) and achieving them on time and sending them back to the university.

 

Tasks of the laboratory accreditation unit:

1-Determine and audit laboratory specifications with standard specifications requirements.

2-Determine the technical specifications of devices and equipment and document their data.

3-Follow up on the implementation of calibration programs for devices and equipment with the relevant authorities.

4-Coordinating with the Laboratory Accreditation Division at the University Presidency to develop and improve the performance of laboratories.

5-Nominating quality officials in each laboratory according to specialization.

6-Take what is necessary to activate the procedures and requirements.

7-Coordinating with the competent authorities to hold courses. 

 

Achievements made by the division

1-The strategic plan was developed by the Quality Assurance Council.

2-Completing evaluation files for faculty members.

3-Completing employee evaluation files.

4-It held courses, workshops and lectures related to quality assurance.

5-It held courses and lectures on human rights in cooperation with the Quality Assurance and University Performance Division.

6-Completion of the comprehensive evaluation file.

7-Completing academic description forms in cooperation with departments in the college.

Scientific Division

The division is considered one of the most important divisions that support the educational process, which is concerned with working to supplement the educational process with scientifically advanced staffs by motivating teachers, facilitating their tasks in scientific research, and participating in specialized courses. In addition, it facilitates the process of enrolling them in postgraduate studies, supportes scientific departments and provides them with scientific plans and programs through coordination with all branches to facilitate the teaching task for the purpose of developing thier performance in a planned and deliberate manner. It consists of the following units:

 

-Research and Development Unit: It is considered one of the important units that undertakes the task of following up on all scientific matters related to teachers and employees.

1- Organizing workshops, conferences and scientific seminars held by the college.

2- Circulating the Ministry’s instructions to the scientific branches sent by the Research and Development Department at the University Presidency, unifying their answers, and sending the admission plan to the University Presidency for the purpose of sending it to the Ministry for approval.

 

-Studies, Planning and Monitoring UnitIts missions:

1- Preparing the college’s university statistics for each academic year, including statistics for teaching staff (name, academic title, certificate).

2-Preparing the college’s annual report for each academic year.

3-Updating teachers database.

4-Preparing the college’s semi-annual achievements.

5-Carrying out administrative development tasks for the college.

 6-Research activities include:

-Preparing a research plan for the scientific departments of the college.

-Follow up and prepare scientific research (such as adding or canceling research, changing research title, published and unpublished research, completion rate) to submit it to the university according to the established preparation plan.

 

-The postgraduate, scholarships and Cultural Relations Unit: and includes

1-Preparing scholarship programs or plans for postgraduate studies abroad.

2-Preparing programs or plans for postgraduate studies inside the country.

3-Monitoring postgraduate students inside and outside the country.

4-Issuing letters to facilitate the researcher’s task (teacher, employee).
